Ask most SME construction businesses where their project information lives and the honest answer is “a few places” — a shared drive here, an email thread there, a contractor’s own system somewhere else. For years that was tolerable. In 2026 it is a liability. Clients, regulators, and the building safety regime now expect project data to be structured, trustworthy, and retrievable. Getting there is less about buying software and more about applying a few disciplines consistently.
Why structured data has become non-negotiable
Two forces are driving this. - A logical folder structure. Mirror how the project actually works, agree it once, and do not let it sprawl. Structure that everyone understands is structure that everyone maintains.
- Genuine version control. One current version, a clear revision history, and superseded files that are archived rather than deleted. “Final_v3_REALfinal” is how liabilities are born.
- Controlled access and a single source of truth. Everyone works from the same environment with the right permissions, so no one is building on an out-of-date drawing.
These foundations are exactly what a well-run common data environment provides, and they are the practical expression of the standards set out in ISO 19650.
Setting it up without over-engineering
The mistake SMEs make is either doing nothing or buying a system so complex the team quietly abandons it. The workable middle path is to start small and enforce consistently. Agree your naming convention and structure before the project starts, write it down in a short information standard, and make it part of how appointments are worded so consultants and contractors deliver into your system rather than their own. Then police it lightly but genuinely — a records system only works if the discipline holds when the project gets busy.

A compliant digital records system is not a technology project — it is a set of habits applied consistently and agreed up front. Get the naming, structure, version control, and access right, and you satisfy the regulators, impress the clients, and make every future tool you adopt work better.
