Construction Document Control Services
An outsourced document controller for your projects — numbering, revision and status control, transmittals, registers and publishing — so the right information reaches the right people and nobody builds from the wrong drawing.
Outsourced document control, without the full-time hire
Document control is the discipline that keeps drawings, specifications, reports and correspondence numbered, revised, approved and issued correctly. When it slips, the consequences are familiar: superseded drawings on site, missing transmittals, disputes over what was issued when, and a scramble for records at handover.
Our document control service gives you a dedicated, remote document controller working in your systems every month. It can run on its own or as part of our wider virtual project management services. We work to ISO 19650 and our team holds APM, RICS and CIOB membership.
What’s included
- Document numbering — a project numbering and naming convention, set up and applied consistently across every discipline.
- Revision and status control — checking revisions and status codes so only approved, current information is issued for use.
- Transmittals — issuing and recording transmittals so there is a clear audit trail of who received what, and when.
- Document and drawing registers — live registers for drawings, documents, RFIs and technical queries, kept up to date.
- Publishing and distribution — controlled publishing through your CDE with the right distribution for each package.
- Incoming information checks — quality checks on consultant and subcontractor submissions before they are accepted.
- O&M and H&S file collation — tracking, chasing and assembling O&M manuals and Health and Safety File content for handover.
- Archiving and close-out — an organised, searchable project record at completion.
When you need it
- Your team is spending too much time chasing drawings, issuing transmittals and updating registers instead of managing the project.
- You have found superseded information being used on site, or can’t prove what was issued and when.
- A new project is mobilising and you need numbering, registers and issue procedures in place from day one.
- Handover is approaching and O&M manuals and the Health and Safety File are incomplete.
- You need document control capacity for a peak period without recruiting a permanent document controller.
How we work
- Free 30-minute consultation. We talk through your projects, your current setup and where the gaps are. No obligation.
- A monthly plan or a tailored fee proposal. Choose a monthly plan sized to your workload, or request a tailored fee proposal — we reply within 24–48 hours.
- Onboarding within 5 working days. Your document controller gets access to your CDE and existing registers, reviews current numbering and issue procedures and agrees reporting with you.
- Monthly delivery with reporting. Your team delivers the agreed days each month with clear reporting. Up to 20% of unused days roll over, so quieter months aren’t wasted.

Frequently asked questions
What does a document controller do on a construction project?
A document controller manages how project information is numbered, revised, approved, issued and recorded. That includes registers, transmittals, status checks and publishing through the CDE, plus collating handover records such as O&M manuals and the Health and Safety File.
Can document control really be done remotely?
Yes. Document control happens in the CDE, the registers and email, all of which work remotely. Your document controller works inside your systems and to your procedures, just as an in-house controller would.
How much do document control services cost?
Pricing depends on the number of days and the roles you need each month. Request our plans and pricing and we’ll email you the full rate card, or ask for a tailored fee proposal — we reply within 24–48 hours.
Which platforms do you work with?
We work hands-on with Autodesk Construction Cloud, Aconex, Asite and SharePoint, and can set up a CDE if you don’t have one yet.
Is there a minimum contract?
Monthly plans have a 3-month minimum term, then run monthly with 30 days’ notice. Up to 20% of unused days roll over to the following month.
